Phishing Email Reporting
Introduction
The purpose of this document is to create a standard for using the Barracuda Email Spam/Phishing button. All items contained within this document are meant to be a guiding practice for The Pearlman Group and all associated companies within.
Taking Action on Spam or Phishing Emails
In order to take action on the emails that are possible Spam or Phishing attempts, the end user must click on the Barracuda Button that has been deployed to all email accounts, within the Outlook application or by using Office.com to access their email accounts.
The Barracuda Button will look like the following Image:

The following steps will ensure successful submission of the possible malicious attempts:
Open the Actions panel to access actions. The actions are described after the common task of opening the Actions panel.
Opening the Actions Panel
To open the Actions panel:
In Outlook Web Access
- Log into Outlook using your web browser.
- Select an email and open it up, then click the Barracuda Essentials logo in the top right of the page.
- Note: depending on the screen resolution the button can be hidden and found by clicking the three dots on the top right of the email

In the Outlook Application
- Log into Outlook.
- On the main Inbox page, click the Barracuda Essentials logo in the Microsoft ribbon.

- Note you might have to click on the three dots depending on Screen Resolution.

Submit as Suspicious
Click to flag messages that are potentially harmful or unwanted – including phishing, spear-phishing, spam, or impersonation emails.
Flagging suspicious emails can help protect other users in your organization. Flagged messages are:
- Submitted to Barracuda Networks for analysis and improving email protection.
- All submissions are verified and added to all Barracuda systems across the world via Barracuda.
To submit an email as suspicious:
- Open the Actions panel as described above.

- Click Report & Provide Feedback Button
- This will mark the email as Suspicious.
- A new page will open giving the user options to select to help categorize the email correctly.

. The currently selected message is submitted to Barracuda as suspicious and is immediately moved to Deleted Items folder, or the folder specified in your Preferences, described below.
Set Your Preferences
- Open the Actions panel as described above.
- Click Preferences.

- Choose the Outlook folder where you want to send emails you report as suspicious. By default, emails are sent to your Deleted Items or Junk folder. Click Back.

Manage Your Sender Policy
- Open the Actions panel as described above.
- Click Manage your sender policy. You are directed to the Barracuda Essentials Sender Policy page where you can allow or block messages from certain domains. Note that you might need to log in first.
- IT will assist with this configuration as it is not an end user required step.
